Documentation Basics Deleting a workspace

Deleting a workspace

What happens when the owner deletes a workspace, and when it is gone.

Asking for deletion

Only the workspace owner can delete it. Open Settings → Workspace → Organization, choose Delete workspace, and type the workspace's name to confirm. In UniversalDesk, open Settings → Workspace → Delete workspace. You can tell us why you are leaving, but you do not have to.

Before you ask, export anything you want to keep, such as conversations, leads or social history. Nobody can open the workspace afterwards, including you, apart from its billing page (Usage & Billing, or Unpaid invoices in UniversalDesk).

You are asked for your password as well. If you sign in only through your organization's identity provider and have no password, the workspace's name is enough.

What happens at once

  • Nobody can open the workspace any more: not its members or agents, the inbox app, or the agent API. The owner and managers can still open its billing page (Usage & Billing, or Unpaid invoices in UniversalDesk), and nothing else, to pay any outstanding invoices.
  • Its bots and channels stop answering, and every connected account is disconnected. Customers who message the business get no reply.
  • Scheduled social posts do not go out, and listening stops.
  • The subscription is cancelled. Usage so far is invoiced straight away. The rest of the period you paid for is not refunded, though an annual plan cancelled within 30 days still gets the money-back guarantee.
  • The owner gets an email saying when the workspace will be gone.

Within 30 days

Everything the workspace holds is deleted within 30 days of the request: conversations, contacts, leads, knowledge, data tables, social content, files, settings and memberships. The owner is emailed when it is done. If the workspace still has unpaid invoices then, the last step waits for them, as described below.

Billing records, such as invoices, payments and the AI usage billed, are kept for as long as the law requires. They stay under the workspace's name, so we can still answer for a charge, but nothing else from the workspace is kept with them. The workspace's address is freed, and anyone can use it for a new workspace.

People keep their own sign-in. Anyone who belongs to other workspaces carries on using them.

Unpaid invoices

Unpaid invoices do not keep your customer data: it is deleted within 30 days all the same. What stays is the workspace's name, its billing records, and the owner and managers, so they can pay. The owner and managers are emailed a link to pay.

From the moment the deletion is asked for until it finishes, the owner and managers can sign in and open the workspace's Usage & Billing page, and nothing else. It lists what is owed, with a link to pay each invoice, and lets the owner and managers change the saved card. In UniversalDesk this page is called Unpaid invoices. Other members can no longer sign in to the workspace, and its bots stay off.

Once every invoice is paid, the deletion finishes, usually within a few minutes and always within a day, and the owner is emailed. The owner and managers cannot close their accounts until then.

Changing your mind

Until its customer data is deleted, reply to the email we sent you and we can restore it. Once it is deleted, it cannot be brought back. Its members get access back, but you will need to subscribe again and reconnect its accounts.

Closing your account

Deleting a workspace leaves your own sign-in alone. To close your account as well, open Profile from the menu under your email and choose Close account. In UniversalDesk, Close account is in that menu itself. In the inbox app, Close account in Settings opens the same page in your browser.

If you own a workspace that is still in use, delete it first. A workspace whose deletion is already under way does not stop you, unless it has unpaid invoices and you own or manage it: pay them on its billing page (Usage & Billing, or Unpaid invoices in UniversalDesk) first. If your organization's identity provider manages your place in a workspace, ask whoever runs it to remove you there first.

Closing your account signs you out everywhere and takes you out of every workspace you are in. Your open conversations and tickets go back to the queue, and your access tokens and the inbox app stop working for you. Conversations and notes you worked on stay with the workspaces. It cannot be undone, but you can sign up again later with the same email.
