Documentation Social Monitoring

Monitoring

Search beyond your own accounts for public posts about your brand and your competitors, see who they are about and how people feel, and get told when something needs attention.

What a monitor is

Listening collects what people leave on your connected accounts. A monitor goes further. It searches a public source for posts about your brand and about the competitors you name, whether or not the author tagged you.

Owners and managers create, edit, pause, preview and delete monitors. Everyone in Social can read them and their results. If you choose a team for a monitor, only that team's members see the monitor, its results and its alerts. Owners, managers and admins always see them.

Each Social size includes a number of monitors. On a size that includes none, you cannot create one. After a move to a smaller size, your oldest monitors keep running and the rest pause, marked as over your size. To resume one of those, pause another first.

Setting up a monitor

Each monitor has these settings:

  • Name: How the monitor appears in lists and alerts.
  • Brand names: The names people use for you, including common spellings.
  • Description: One line about what your business does. It helps tell your brand apart from something else with the same name.
  • Competitors: The companies you want to hear about alongside your own.
  • Search terms: What the source is searched for. They start as your brand names, and you can add more.
  • Words to leave out: Posts containing any of them are not collected.
  • Sources: Where to search. X is the only source today.
  • Countries and languages: See below.
  • Keep posts from an unknown country: On by default.
  • Results per day: The most posts the monitor keeps in a day, counted in your workspace’s time zone.
  • Team: Limits who can see the monitor, its results and its alerts.
  • Alerts: See Alerts.

Search terms and words to leave out together must stay short enough for X to accept. The form tells you when they are too long.

Preview runs one small search, about 10 recent posts, and shows what it finds so you can adjust the terms. It stores nothing. It still counts as X usage.

Countries and languages

Enter countries and languages as two-letter codes, such as gh and en. Leave either empty to accept any.

X does not say where most posts come from, so each post's country is judged from what the author and the post show. When it cannot be told, the post is kept unless you turn off Keep posts from an unknown country.

Each post is also judged for who it is about: your brand, a competitor you named, or something else that shares a name. Posts about something else, posts from countries outside your list, and posts from an unknown country when you turned that off are out of scope. They are kept for 30 days, left out of counts and alerts, and listed under Out of scope so you can check the judgement.

Public results

Posts a monitor finds appear under Public results. Each is marked with how the author feels, its themes, and whether it is a risk. Switch between these views:

  • Fresh: Posts nobody has looked at yet. This is the default.
  • Risky: Posts marked as a risk.
  • Reviewed: Posts someone has marked reviewed.
  • Dismissed: Posts someone has set aside.
  • Out of scope: Posts outside the monitor's brand, countries or unknown-country setting.

Filter the list, search the text, and export the filtered list as a CSV. Mark reviewed and Dismiss work on one post or on several at once.

A post that also mentions one of your connected accounts appears with your comments and mentions instead of under Public results, so it is answered once.

The Listening dashboard shows counts for Owned (your accounts) and Public (monitors), and can show its charts for one monitor.

What is kept

Posts in scope are kept for 24 months from when they were posted. A post deleted on X is deleted here too. Out of scope posts are kept for 30 days.

Alerts

Monitors raise the same kinds of alert as Listening: more posts than usual, a run of negative posts, and a risky post. A risky post about your brand alerts like a risky comment does.

Listening rules and each monitor set their own thresholds:

  • how sharp a rise must be, as a multiple of the usual, with a minimum number of posts;
  • the window, in hours;
  • how many past days are compared;
  • the share of negative posts that triggers an alert;
  • extra people to email. Only people who can see the monitor can be added.

Allowance and costs

Results count toward your comments and mentions allowance, except posts from X, which count as X usage and are billed the way Listening on X is. Settings → Workspace → Usage & Billing and the usage emails show how many came from your accounts and how many from each monitor.

Each monitor's results per day caps what it keeps. A monitor that reaches its limit pauses for the rest of the day and picks up where it stopped the next day, so no post is missed or counted twice. When fewer than 10 are left, the last search of the day can bring a few more than the limit, and those are kept too.

When two monitors find the same post, each keeps it with its own judgement, but it counts once.

What each source covers

  • X: Recent posts, not reposts, in the languages you choose. X is read every 15 minutes.

You cannot answer posts a monitor finds from UniversalChatbot. Open the original on X to reply.
